Hourly Rate: Between $13.50 - $15.00 per hour depending on experience and training.

Job Description: Program Assistant - LTE

This position will provide support to the leadership team through meeting and agenda management, task tracking, and follow-up. Provide support to staff using the regional office and ensure the office is managed smoothly.

60% A. Provide programmatic support & coordination for the Secretary's Director, Field Integration Leader, and the Integrated Leadership Team members.
A1. Coordinate incoming and outgoing correspondence, coordinating appointment calendars, schedule meetings and resolve meeting conflicts, provide back-up phone coverage, handle situations and direct critical questions and issues to appropriate staff, type confidential and sensitive documents.
A2. Research and compile information in meetings, preparing responses to correspondence as appropriate, acting on behalf of the Secretary's Director office when directed.
A3. Respond to letters, emails, web inquiries, and phone calls from agency staff, external partners, and the public regarding a wide range of department issues.
A4. Maintain Northeast systems including email distribution lists, folders on shared drives, etc.

20% B. Coordinate Meetings
B1. Plan and schedule meetings, lodging, and make meal arrangements.
B2. Attend meetings to record summaries of discussions, assignments, and decisions and liaison with facility for meeting logistics.
B3. Collaborate with managers to finalize and distribute meeting summaries and track decisions. Follow-up with team members to obtain status updates on assignments.

20% C. Ensure effective program operations for the Regional Office.
C1. Serve as member of the headquarters team. Learn the HVAC system, proper flag handling, etc.
C2. Order supplies for the regional office.
C3. Maintain the fleet assigned to the regional office.
C4. Provide support to programs with assigned responsibilities for facility management.
C5. Serve as the conference room coordinator and provide information on conference room use to staff.

Knowledge Required:

Required Qualifications:
- Highly organized, task orientated, and self-motivated.

Preferred Qualifications:
- Computer proficient, ability to shift between tasks quickly and effectively, and exceptional communication skills.
