Job Description: Office Associate - LTE

50% Position provides routine office support work performed under close to general supervision and must be familiar with the organizational structure to complete tasks. They may be involved in work assignments with several interrelated operating units. Position performs a variety of basic office support tasks consistent with established office and agency policies and procedures. Assist customers in-person at the Baldwin Customer Service Counter, selling hunting and/or fishing licenses through Go Wild and processing boat, ATV, and snowmobile renewals, providing special permit application forms. Collects appropriate payment and provide receipt for registration. Enters data and runs reports from routine databases or programs.

30% Serve as a point of contact locally for external customers visiting the Service Center directing customers to the appropriate contacts as necessary. Requires a moderate level of computer proficiency. Opening, sorting and distributing mail, collating materials, or preparing for outgoing mail. Provide general department information regarding rules and regulations. Ordering routine supplies and/or maintaining inventories.

20% Preparing documents for scanning by checking for accuracy, readability and completeness, removing all paper clips, etc., and ensuring documents are not folded or torn; annotating each document with date and time of receipt and other necessary markings, ensuring attachments are indicated; determining document types and priorities for processing; preparing the scanner and scanning the documents while reviewing the image screen to ensure clarity; and performing quality control of the scanned documents and rescanning, if necessary. Assists with scheduling multiple staff and rooms for meetings as necessary Requires basic knowledge of state programs and proactive problem-solving skills to analyze customer needs.

Knowledge Required: A well-qualified applicant will have familiarity office work responsibilities and the State's natural resources. The applicant should be familiar with computers and comfortable in a Microsoft Office environment. The applicant should possess excellent written and verbal communication skills as well as the ability accurately relay general information and direct customers to appropriate staff.
