Job Description: Records/Forms Management Specialist - LTE

This position provides general business support to the the Division of Forestry. The primary duties associated with this position involve the coordination of records, forms, Manual Codes and Handbooks, as well as providing support and maintenance of internal business systems and processes.

50% Coordination of Records, Forms, Manual Codes and Handbooks: Implement Department procedures for Records Disposition Authority (RDA) and creation and ongoing maintenance of forms, manual codes, and handbooks relative to the business of the Division. Provide technical reviews and consultation to management and staff regarding proper procedures, track and assist in Division assignments and track accomplishments to ensure timeliness, consistency, and accuracy. Maintain records and produce reports upon request.

20% Back-up support for SLT/FOT/FBMT: In collaboration with the Forestry Executive Staff Assistant, ensure that support for the Strategic Leadership Team (FLT), Field Operations Team (FOT), and Forestry Bureaus Management Team (FBMT) is timely and complete, including scheduling meeting rooms, meals, and travel arrangements for team members, preparation of materials for meetings as requested, and travel with the teams as needed to support logistics and record meeting discussions and decisions.

20% Office Management: Ensure that the Division of Forestry central offices are maintained in an orderly and high functioning manner. Coordinate to resolve problems regarding physical office space. Order, receive, and distribute office supplies. Maintain central office pool vehicles according to maintenance schedules, ensure vehicles are clean and stocked, track vehicle mileage, report mileage charges monthly. Provide ongoing customer service to Division of Forestry staff and special projects as assigned.

10% Purchase Requisition: Assist Division staff and managers in development and tracking of Purchase Requisitions in the automated purchasing system.

Knowledge Required:

Required Qualifications:
- Skill in Microsoft suite of office/business products
- Established written and oral communication skills
- Experience in customer service
- Experience in managing business systems and records

Preferred Qualifications:
- High degree of organization
- Excellent Customer Service and communication skills
- Experience in project tracking
- Forestry or Natural Resources background

***NOTE*** This position is for 20 hours/week. We plan to hire one person to fill both this position and the Records/Forms Management Specialist position (Job ID 11805) to work a total of 40 hours/week. If interested, please apply for both positions.
