Job Description: Executive Staff Assistant - LTE

This position will provide programmatic coordination for the Division of Forestry. Serve as the Division's coordinator for the business functions as well as providing staff support and guidance on Department and Division business systems.

40% Support Division Records Management and Business Logistics File management for Executive Leadership and retention. Development of a working knowledge of Department and Division records retention policies. Use of the departments finance and time reporting system to enter expenses, requisitions and reconcile PCards. Create and manage tracking spreadsheets, metric documents and track staffing requests.

30% Division Customer Service Work closely with division and program staff for the coordination of briefing materials as well as the successful routing for obtaining requisition and grant approvals. Work closely with leadership and staff involved in roundtables to create a complete and concise summary.

20% Support Executive Leadership Preparation of meeting materials, travel logistics and regular management of daily calendars. Ability to navigate complex calendars for scheduling larger re-occurring meetings and requested briefings with the use of Outlook scheduling.

10% Other projects as assigned including as serving as the forestry representative to the Rhinelander building and facilities team.

Knowledge Required: Candidate will have a high degree of organization, ability to maintain confidentiality and strong working knowldge of Microsoft office systems such as Outlook, Excel, Word, Calendars, One Note and SharePoint.

***NOTE*** This position is for 20 hours/week. We plan to hire one person to fill both this position and the Executive Staff Assistant position (Job ID 11654) to work a total of 40 hours/week. If interested, please apply for both positions.
