Job Description: Executive Staff Assistant - LTE

Provide programmatic coordination for the Division Administrators. This includes coordinating the flow of incoming and outgoing correspondence between staff, inter and intra-agency staff and outside agencies, coordinating appointment calendars, schedule meetings and resolving meeting conflicts, providing back-up phone coverage, handling situations and directing critical questions and issues to appropriate staff, and handling confidential and sensitive documents.

40% Support Executive Leadership Preparation of meeting materials, travel logistics and regular management of daily calendars. Ability to navigate complex calendars for scheduling larger re-occurring meetings and requested briefings with the use of Outlook scheduling. Assistance with Division level interview logistics.

30% Division Travel and Meeting Logistics Plan and coordinate meeting space and meals for management teams. Coordination of transport for meetings which are not local. Assist in planning logistics and preparation of materials for yearly awards ceremonies, including but not limited to the preparation of awards, the presentation and securing the location.

30% Support and maintain meeting documentation meetings to record summaries of discussions, assignments, and decisions and liaison with facility for meeting logistics. Collaborate with meeting managers to finalize and distribute meeting summaries and track decisions and completion of assignments for team members. Follow-up with team members to obtain status updates on assignments. Maintain complete records of meetings, including agendas, supporting documentation, decisions, and assignments in well-organized and accessible archive

Knowledge Required: Candidate will have a high degree of organization, ability to maintain confidentiality and strong working knowldge of Microsoft office systems such as Outlook, Excel, Word, Calendars, One Note and SharePoint.

***NOTE*** This position is for 20 hours/week. We plan to hire one person to fill both this position and the Executive Staff Assistant position (Job ID 11655) to work a total of 40 hours/week. If interested, please apply for both positions.
